Blackstone is looking to add an Executive Administrative Assistant at one of its Portfolio Companies in Charlotte, NC.

 

The Executive Administrative Assistant will work with the CEO and leadership team of a Blackstone portfolio company in Charlotte, NC. This opportunity requires an exceptional administrative professional who can seamlessly manage administrative needs, requiring heavy communication with both internal and external industry professionals including c-suite and senior leadership on a national scale. Our ideal candidate provides administrative and project support to multiple executives as assigned. Acts as primary point of contact for internal and external constituencies on all matters relating to this group of executives. The ideal candidate is a highly self-motivated professional, capable of managing their workload, prioritizing tasks in a corporate environment, as well as manage a wide variety of activities and confidential matters with discretion.

What You Will Bring

  • Organize executives’ days by managing calendars and scheduling appointments to create win-win situations for access to the executives
  • Provide a bridge for smooth communication between portfolio company executives and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff
  • Coordinate travel arrangements, compile documents for travel-related meetings and prepare preparing Travel and Expense reports
  • Research priorities and follow up on incoming issues and concerns addressed to the executives, including those of a sensitive or confidential nature
  • Work closely and effectively with executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately
  • Provide leadership to build relationships crucial to the success of the organization, and manage a variety of special projects for executives, some of which may have organizational impact
  • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting general correspondence, memos, and letters, many of which are confidential in nature; overseeing all calls to ensure they are routed to appropriate executives and that messages are returned, and other tasks that facilitate the executive’s ability to effectively lead the company
  • Prioritize conflicting needs; handle all matters expeditiously, proactively, and follows through on projects to successful completion, often with deadlines
  • Assist in the preparation of packages and requests for information
  • Create and maintain files, databases, and spreadsheets
  • Distribute incoming mail to appropriate executives
  • Create and update presentations including charts, tables, and graphs, utilizing various software programs
  • Process invoices for payment, after first assessing purpose, obtaining approval, and routing to the appropriate party for payment
  • Prepare agendas, notices, and minutes for meetings
  • Oversee all aspects of event planning for team meetings, dinners, and social events

Required Education and Experience

  • Administrative experience, including executive-level support
  • College preferred or equivalent experience
  • Exceptional organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong follow-up skills
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, senior management, and external parties
  • Strong written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high-performance goals and meet deadlines
  • Forward-looking thinker, who actively seeks opportunities and proposes solutions
  • Friendly and professional demeanor
  • Thorough knowledge of Microsoft applications and other general office equipment is required
  • Outlook experience preferred
